WorkWise for Screen understands that your privacy is important and that you care about how your personal data is used. We respect and value the privacy of everyone who visits this website, workwiseforscreen.org.uk (our Site). We will only collect and use personal data in ways described here, and in a way that is consistent with our obligations and your rights under the law.

In this Notice the following terms shall have the following meanings:

Accountmeans an account required to access and/or use specific areas and features of our Site;
Cookiemeans a small text file placed on your computer or device by our Site when you visit specific parts of our Site and/or when you use some of the features of our Site. Details of the Cookies used by our Site are set out in Part 13, below; and
Cookie Lawmeans the relevant parts of the Privacy and Electronic Communications (EC Directive) Regulations 2003;

3. What Does This Policy Cover?

This Privacy Policy applies only to your use of our Site, which may contain links to other websites. Please note that we have no control over how other websites collect, store, or use your data, and we advise you to check their privacy policies before providing any data to them.

4. What Is Personal Data?

Personal data is defined by the UK GDPR and the Data Protection Act 2018 (the Data Protection Legislation) as ‘any information relating to an identifiable person who can be directly or indirectly identified in particular by reference to an identifier’.

Under the Data Protection Legislation, you have the following rights, which we will always work to uphold:

a) The right to be informed about our collection and use of your personal data. This Privacy Policy should tell you everything you need to know, but you can always contact us to find out more or to ask any questions using the details in Part 14.

b) The right to access the personal data we hold about you.

c) The right to have your personal data rectified if any of your personal data held by us is inaccurate or incomplete.

d) The right to be forgotten, i.e. the right to ask us to delete or otherwise dispose of any of your personal data that we hold.

e) The right to restrict (i.e. prevent) the processing of your personal data.

f) The right to object to us using your personal data for a particular purpose or purposes.

g) The right to withdraw consent. This means that if we are relying on your consent as the legal basis for using your personal data, you are free to withdraw that consent at any time.

h) The right to data portability. This means that, if data is processed using automated means, you can ask us for a copy of that personal data to re-use with another service or business. We do not use your personal data in this way.

i) Rights relating to automated decision-making and profiling. We do not use your personal data in this way.

It is important that your personal data is kept accurate and up-to-date. If any of the personal data we hold about you changes, please keep us informed as long as we have that data.

If you have any cause for complaint about our use of your personal data, you have the right to complain to the Information Commissioner’s Office. We would welcome the opportunity to resolve your concerns ourselves, so please contact us first, using the details in Part 14.

6. What Data Do You Collect and How?

When you visit our website, we may collect and process the following personal data: 

a) Identity and contact information: Including your title, name, date of birth, and gender, as well as your address, email address and telephone number. 

b) Profile data: If you create an account on our website, we will process information about your account, including your username, your preferences, and other information you share with us, for example your employment status, career history, education history, industry sector(s), and other details about your professional life you choose to share with us. 

c) Technical data: Some information is automatically collected by our website, and includes your internet protocol (IP) address, login information, information about your internet browser, date and time information, location, browser plug-in types and versions, operating system and platform, and other technical information about the devices you use to access this website. Collecting this information allow us to ensure that content is presented in the most effective manner for you and for your computer, mobile or other equipment, and that our site is safe and secure.  

d) Website usage data: We may collect information about the way that you use our website through cookies (for more information, see our cookie policy).

e) Marketing data: We will also collect information about your preferences to receive marketing emails from us and your communication preferences. 

Certain categories of personal information are more sensitive than others. Known as ‘special category personal data’, this relates to information about your health, racial or ethnic origin, details of sexual life, sexual orientation, religious beliefs, political opinions or any genetic or biometric data that is used to identify you. 

We do not routinely process special category personal data, however if we need to do so we will explain what information we need and why. Providing special category data will be optional.

7. How Do You Use My Personal Data?

The personal data that we collect and process is primarily used to enable us to provide you with the information you require from our Site. For example, we may use your personal data for the following purposes: 

  • To provide you with information you have requested, for example if you have signed up to receive newsletters from us; 
  • To administer our site and for internal operations including troubleshooting, data analysis, testing, evaluation, research, and surveys; 
  • To assess your professional needs and attributes in order to identify content and resources appropriate for you;

  • Where we have your consent: For example, when you agree to receive marketing communications from us.

    • To enable us to administer our website and provide web-based services, such as allowing you to build a profile; 
    • To communicate with you in relation to our services, including informing you about service interruptions; 
    • For sales and business development purposes; 
    • To prevent misuse of our online platform;
    • Carrying out equality and diversity monitoring.

8. Marketing

If you sign up to our mailing list, you will receive marketing emails from us. You can opt out of receiving marketing at any time by clicking the ‘unsubscribe’ link at the end of any email or by contacting us.

9. How Are Your Personal Data Collected?

We collect personal data about you from the following sources: 

  • Direct interactions: We collect personal data that you provide to us, this includes information you provide when you communicate with us, sign up for our email mailing list, or when you register an account with us.  
  • Automated interactions: As you interact with our website, our website provider will automatically collect technical data. 
  • Third parties or publicly available sources: We may also receive personal data from third parties and public sources. This may include: 
    • Analytics: We may receive technical data from analytics providers such as Google; 
    • Social media: If you contact us via social media, we will process the information in your communications and other associated information, such as your username.

10. Where We Store Your Personal Information

We will store some of your personal data within the European Economic Area (the “EEA”). This means that your personal data will be fully protected under the EU GDPR and/or to equivalent standards by law. Transfers of personal data to the EEA from the UK are permitted without additional safeguards.

We may store some of your personal data in countries outside the EEA, which are known as “third countries.” We will take additional steps to ensure that your personal data is treated just as safely and securely as it would be within the UK and under the Data Protection Legislation.

We take reasonable precautions to protect against the loss, misuse or alteration of your personal data and to ensure that it will be processed in accordance with this Notice. Unfortunately, the transmission of data via the internet is not completely secure and therefore we cannot guarantee the security of data sent to us electronically. You acknowledge and accept that, despite our efforts to protect your personal data, there is a risk that others may try to intercept the information you provide to us. Transmission of your personal data is entirely at your own risk. Once we have received your personal data, we use strict procedures and security features to prevent unauthorised access.

11. Disclosing and Sharing Your Information

In certain circumstances we may share your personal data with third parties. We will never share your personal data unless we are allowed or required to do so by law. Examples of how we may share your personal data: 

  • For research, evaluation, reporting, or analytical purposes, we may share anonymised or aggregated data with external partners;
  • With analytics and search engine providers that help us with improving and optimising this website;
  • If we transfer the WorkWise for Screen Programme to another organisation, your personal data may be disclosed to the new provider;
  • With law enforcement agencies, regulatory organisations, courts or other public authorities where we have a legal obligation to do so;
  • With our legal advisors and insurers, for example if we are involved in a dispute with you.

12. How Long Will You Keep My Personal Data?

We will only store your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements and, where required for us to assert or defend against legal claims, until the end of the relevant retention period or until the claims in question have been settled. 

When you subscribe to our newsletter list we will process your data until you unsubscribe from the list. Your data will then be included in the data cleansing processes we employ to keep our data up to date and will be archived/deleted.

13. How Do You Use Cookies?

Our Site may place and access first-party Cookies on your computer or device. First-party Cookies are those placed directly by us and are used only by us. We use Cookies to facilitate and improve your experience of our Site. We have carefully chosen these Cookies and have taken steps to ensure that your privacy and personal data are always protected and respected.

By using our Site, you may also receive third-party Cookies on your computer or device. Third-party Cookies are those placed by websites, services, and/or parties other than us. These Cookies are not integral to the functioning of our Site and your use and experience of our Site will not be impaired by refusing consent to them.

We may change this Privacy Notice from time to time. This may be necessary, for example, if the law changes, or if we change our business in a way that affects personal data protection.

Any changes will be immediately posted on our Site and you will be deemed to have accepted the terms of the Privacy Notice on your first use of our Site following the alterations. We recommend that you check this page regularly to keep up-to-date.
